1. Introduction

This privacy policy describes how AR Media International AB (“AR Media”, “we” or “us”), company registration number 556-393-0170, collects and processes personal data in connection with our websites, services, events, and other interactions with us.

The policy explains which data we collect, why we process it, how long it is retained, and what rights you have under applicable data protection legislation.

2. Change of privacy policy

AR Media may review this privacy policy and adapt it to legislative amendments, for the way we collect and use personal data, the site features or technical progress. If we make changes to the way we collect and use your personal data, we will note these changes to this privacy policy and update the current date of the changes at the beginning of the privacy policy. Therefore, you should regularly return to this privacy policy to ensure you have the latest version of our policies and our working practices. AR Media will also advise on changes to be implemented in advance. If you do not agree to any of the privacy policy changes, please do not use the site in the future. We ask you to review and consent to the privacy policy changes if you use the site after the date of the changes.

4.1 In order for you to visit our website, purchase our goods or services or contact us for service or information, we must collect and process personal data about you.
4.2 We collect and process personal data about you when you make a purchase on the AR Media website, sign up for a newsletter, visit the AR Media website or an event organised by AR Media or when you contact AR Media. The information collected from you when booking or purchasing is required in order for you to enter into an agreement with AR Media and to enable AR Media to provide its services and offers.
4.3 We also collect and update your address information through third party address updating services.

5. The information we collect

5.1 We collect personal data and other information that you provide when using the website. This may consist of your name, address, phone number, and e-mail address. In addition, we also collect non-personal data when you are using the website, even if you do not make an order/reservation that can be linked to your personal data, such as your IP address, geographical data, nationality and password, search preferences on the website and in search engines, which browser you use, information about your computer’s operating system, the version of the application, language settings, and pages that have been shown to you. 5.3 Photography and video recording may occur at trade fairs and events organized by AR Media. The material may be used in information and marketing of AR Media and its events, for example on our websites and in our digital channels. We strive to handle such material responsibly and do not publish images that may be perceived as inappropriate or offensive.

6. Why do we process your personal data?

6.1 For customers of AR Media

Mainly, AR Media processes your personal data in order to:

  • Comply with our obligations to you as a customer, such as the execution of purchases and invoicing.
  • Enable general customer care and customer service, such as answering questions and correcting incorrect data.
  • Provide information and targeted marketing, by mail, e-mail, and phone regarding AR Media's products and services.

8. How long do we retain personal data?

We retain personal data only for as long as necessary for the purposes stated in this Privacy Policy or for as long as we are required to do so by law.

  • Data related to purchases, bookings, and agreements are retained for as long as the contractual relationship exists and thereafter to the extent required under accounting and tax legislation.

When personal data is no longer necessary for its purpose, it is deleted or anonymized in a secure manner.

9. Recipients of Personal Data and External Suppliers

We may share personal data with external suppliers in cases where it is necessary in order to provide our services, conduct events, communicate with our users, or fulfill our obligations.

  • System and platform providers for booking, event registration, forms, subscriptions, and newsletters (for example Zoho Campaigns, Jotform, as well as proprietary solutions)

  • Trade fair and event organizers who handle registrations and participant lists in connection with trade fairs and conferences
  • Technical and administrative suppliers who provide operation, storage, and support of our systems

We also use certain digital platforms for communication, marketing, and analysis, such as Facebook and Instagram (Meta) as well as LinkedIn (Microsoft). In some cases, these may involve the processing of personal data.

When we engage external suppliers, we ensure that personal data is processed in accordance with applicable data protection legislation. Where suppliers act as data processors, data processing agreements are in place. If personal data is processed outside the EU/EEA, this is done on the basis of appropriate safeguards in accordance with the GDPR.

You should always be able to feel safe when you submit your personal information to us. In order to avoid unauthorised access, we maintain the necessary physical, electronic and organisational procedures to protect personal data from accidental or illegal destruction, loss or modification through an accident, unauthorised disclosure or unauthorised access. In order to protect transactions with credit cards, AR Media uses Bambora’s external payment service that encrypts credit card information during the transaction.
